Your Accommodation Choices

On your booking form, you are requested to indicate your first and second preference. We will always try to allocate your preferred accommodation to you, but this may not always be possible. There are a limited number of rooms which are fully accessible, and we have to consider the health and mobility needs of all students.

None of the available rooms are single rooms, therefore, we must charge more for any room that has single occupancy. We strongly encourage sharing, and will make all efforts to ensure people are comfortable, matching people who are “Early Birds” or “Night Owls” and making privacy screens available in rooms which are shared. You are welcome to name anyone on your booking form with whom you wish to share.

Payment

Your booking is secure upon payment of the £100 deposit. You will be asked to pay your balance by 28^th July 2025. We are happy to arrange payment terms with you; please contact us on the email address given above.

You will be informed of the balance you are required to pay, which is determined by the accommodation you are allocated (see above) and any discounts you are entitled to (below). Discounts are applied to the balance of your fee, the deposit will be £100 regardless.

If you book and pay your deposit before 31^st March 2025, you are entitled to a discount of £20.

If you are booking particular accommodation for your health and/ or mobility requirements, and have indicated this in your booking, you are entitled to a £25 discount.

Cancellation

If you are unable to attend the Summer School as planned, and you notify us before the end of June 2025, any balance payments you’ve made will be refunded, but your deposit is not refundable.

If you cancel any later than this, you will not be entitled to a refund. We advise you to take out holiday insurance if you wish to cover the cost of your having to cancel once you have paid in full.

If we have to cancel the Summer School, you are entitled to a full refund. You will also be offered the option of carrying over any payments until the following year.

Accidents & Illness

If you have an accident or become ill whilst at Summer School, we will do all we can to accommodate your recovery. We ask that you consider the impact this will have on the other students, and we may have to ask you to curtail your visit for this year if you cannot reasonably continue to take part.

If you begin to feel ill with what may be Covid 19, we will ask you to take a test, which will be supplied. If positive, you will be asked to isolate, and leave the School as soon as possible.

Data Protection & Privacy

The information you give us in this booking form will be kept securely and used to ensure we give you the best possible experience at the Summer School. It will not be retained any longer than is necessary to do this.

You also have the option to join the Summer School Mailing List. If you do, we will retain your contact details so we can periodically send you information about the Summer School and related events. We will not pass your details on to another organisation.

We will usually contact you via email to save the environment and keep our costs down; occasionally we will send information in the post, such as the Summer School leaflet.

You have the right to access your information, request changes and request removal at any time. Contact wmasummerschool@gmail.com if you wish to do so.

Child safety

Children and young people under the age of 16 (or 21 if they have a learning disability) should be accompanied by their parent or other responsible adult at all times. It is the responsibility of the parent to ensure that they choose a responsible adult to look after their children if they are unable to at any particular time. Ideally, this should be someone the parent knows and trusts, with whom prior arrangements have been made.

Children are welcome to attend the workshops with their parent or responsible adult, provided they are able to participate or can be looked after during the session. The tutors reserve the right to ask a child or young person to be removed if they are disruptive or if their presence may cause them harm (e.g. if the volume of music being played is too loud for them).

Adult safety

“An adult at risk” is someone who has needs for care and support, due to physical illness or disability, mental illness and/ or a learning disability. Such adult students should ensure that they have made arrangements for the support they will need to attend the Summer School, as this cannot be offered by the Summer School Working Party or Ingestre Hall Staff. This support could be provided by another student (provided they are not “an adult at risk” themselves) by prior arrangement; alternatively, the student may need to book an additional place for a carer.

If you are concerned about the welfare of a child, young person or adult, please report to a member of the Summer School Working Party or member of Ingestre Hall staff.
